Administrative Assistant – External Organizing

SEIU 721 is a dynamic and fast-growing labor organization recognized as one of the largest and strongest unions

covering 6 counties in Southern California; including Ventura, Los Angeles, Orange, and Riverside counties and

workplace, but at the political level as well. Through grassroots organizing, identifying, and developing leaders
within our Union, we make sure that our members voices are heard, and that the government is held accountable to
ensuring efficiency, advocating for those in need, and improving access to services.

communities’ health and well-being. Our goal is to uplift those workers who have been historically marginalized and
give them a seat at the table so they may provide for their families for generations to come. We continue to grow our
outreach so that we can provide excellent representation and strengthen the power of workers in a changing labor
economy.

RESPONSIBILITIES:
The External Department Administrative Assistant reports directly to the Organizing Director and Assistant
Organizing Director. This position requires an administrative assistant who can work under minimum supervision in
a dynamic and fast-paced environment. In addition, is responsible for all administrative support functions.

ESSENTIAL FUNCTIONS INCLUDE BUT NOT LIMITED:
● Receive and screen telephone calls and provide relevant information to members and union staff;
● Update and maintain department calendar to coordinate workflow and meetings;
● Coordinate, organize and schedule meetings, request for conference rooms, meetings, logistics and
support for meetings, events and activities;
● Process and ensure timely distribution of department mailings;
● Arrange all travel itinerary and accommodations. Book and track travel, hotel, car, train and other
arrangements as needed for staff, members, community, non-represented workers and others using the
Concur system and any other platforms as needed;;
● Research, analyze, write, produce and disseminate information requiring excellent administrative and
writing skills;
● Able to handle requests for information and data effectively and efficiently;
● Assist with communications between Organizing Director and Executive Director, Chief of Staff, 721
departments, public organizations, employers, community organizations, other unions, media and
membership, including complaints and requests for information;
● Maintain and update phone/e-mail rosters for business and community contacts;
● Open, read and distribute mail for appropriate action. Prioritize mail and other requests for response by
anticipating program needs and furnishing information required for official response to correspondence and
other official acts with minimal direction; locate, assemble, edit and summarize material, information, and
data for administrative action; research information and compose correspondence, reports, memos and
other documents;
● Type correspondence from handwritten and verbal instructions. Prepare memos, reports and any other
documents as required;
● Able to perform general clerical duties to include, but not limited to, copying, faxing, mailing, scanning and
filing;
● Data entry for union activities/events, update and maintain various databases as needed;
● Track and maintain all required receipts and information for credit cards and accounts;
● Food processing requests for the Division/Department and any others as requested. This consists of
placing food orders, preparing and submitting all forms to Accounting for vendor payment. Ongoing contact
with vendors and staff to ensure deliveries are processed correctly and timely, ongoing solicitation of new
vendor services and provide Accounting with all pertinent information;
● Perform any other related functions as required;

MINIMUM REQUIREMENTS:
● Ability to communicate, work effectively and relate respectfully with a diverse membership and staff;
● 3-5 years working as an administrative assistant;
● Demonstrate ability to work independently and as part of a team and respond quickly to shifting priorities
and rush deadlines;
● Ability to exercise good judgment in order to solve operational problems/dilemmas;
● Proficient in database entry, typing, filing, good written and verbal communication skills;
● Ability to handle telephone contact with members and vendors in a courteous and professional manner;
● Basic internet research skills are required;
● Ability to work under pressure and with minimal supervision; must be well-organized and self-motivated;
● Ability to make effective use of resources available to the union;
● Experience in developing and maintaining record keeping systems;
● Ability to type 50-55 WPM;

SALARY AND BENEFITS:

  • Current hourly rate is $31.43 (entry) to $36.61 (10 years)
  • Fully paid benefit package including medical, dental, vision and a generous life insurance.
  • The Administrative Support Assistant is an hourly OPEIU bargaining unit position subject to a staff union
    contract.
  • Work hours may be between 7:00 a.m. and 7:00 p.m., subject to department needs.
