Tips for Setting up a Meeting
Reserve a Room
•Find out who reserves the rooms at your worksite.
•Reserve a room for a day and time that you think most of your co-workers will be available.
•If a room is not available or you cannot reserve a room at your worksite, see if your lunchroom/break room is large enough or find a place (i.e. coffee shop) to go nearby.
Organize the Meeting (Get-The-Word-Out)
•Once you have the location arranged, begin turnout procedures that best suit your worksite.
•Put a flyer together and post up on bulletin boards, work mailboxes, and in the break areas.
•Use personal email or phone numbers to notify and remind your coworkers (i.e. phone tree)
•MOST IMPORTANT: Have One-on-One conversations with your co-workers to explain the meeting, the importance of it, and find out why they would be interested in going.
Alert your Union Rep
•Once the location has been arranged, alert your union representative to help you create a flyer and arrange any other materials needed.
Remind your Co-workers
•Be sure to remind your co-workers a day before the meeting, even if they already confirmed. If someone says maybe, try to find out what obstacle is keeping them from the meeting and stress the urgency of attending.
