Leave Administration Specialist

RESPONSIBILITIES:
The Leave Administration Specialist reports to the Director of Human Resources and/or their designee. The
primary responsibility of this position is managing and administering all employee leave of absence programs
including FMLA/CFRA, ADA, PDL, military leave, personal leave, and other leaves. This position also serves as
the primary point of contact for employees and Human Resources regarding leave-related matters. The Leave
Administration Specialist will provide support to employees engaged in the interactive process and managing
requests for accommodation and leave certification. The Leave Administration Specialist will work with the Human
Resources team to process staff claims for certified leaves, assist in the interactive process, and ensure that leave
time is recorded accurately. This position requires a highly confidential and experienced individual who can work
independently with minimum supervison in a dynamic fast-paced environment.

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

  • Manage and administer all aspects of employee leaves of absence, including FMLA/CFRA, ADA, military,
    personal, and other statutory or organization approved leaves.
  • Provide guidance and support to employees regarding leave options, documentation requirements, and
    return to work processes in a compliant and empathetic manner.
  • Maintain detailed records, files, and tracking systems to manage staff requests for accommodation and leave certification
  • Provide staff with appropriate documentation and support throughout the interactive process through detailed communication, documentation, and follow up
  • Conduct interactive process meetings with staff to review requests for accommodation with management as appropriate
  • Report information relevant to compensation on leave to Payroll to ensure time is coded correctly and pay is accurate
  • Act as a backup to support Payroll review to ensure time is coded correctly
  • Support Legal and outside partners engaged in the leave administration process by providing input and claim documentation
  • Review new accommodation requests, leave certifications, and provider documentation and communicate out to management effectively
  • Act as a point of contact for staff with requests or questions regarding the leave administration process
  • Research and stay informed of any and all relevant local, State, and Federal policies and update documentation and processes as needed to ensure compliance and best practices
  • Coordinate with Human Resources team to maintain a consistent flow of information reported by claimaints and request support as needed
  • Conduct thorough and frequent reviews of claim statuses and follow up with claimants and management accordingly as claims move through the process
  • Performs other related duties as assigned.

MINIMUM REQUIREMENTS:

  • Superb computer skills, including database management and Microsoft Excel.
  • Ability to work with all levels of staff in a highly diverse working environment.
  • Strong knowledge of applicable state and federal leave policies
  • Ability to maintain a high level of confidentiality
  • Ability to function in a high-paced and at times, stressful enviroment
  • Experience processing protected leave claims
  • Must be able to use discretion and independent judgement and work with minimum supervision.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Strong attention to detail and organizational specifications
  • Time management ability.

  • Abiltity to handle sensitive information with discretion and professionalism.

  • Experience with ADP Workforce Now preferred
  • Commitment to social justice and building power for workers.
  • Experience working in a union environment preferred

SALARY AND BENEFITS:

  • Annual salary range $80,000-86,000
  • Fully paid benefit package including medical, dental, vision and a generous life insurance.
  • Work hours are subject to organizational needs
